Phone number with country code and first name are the minimum. Email, last name and any custom fields relevant to your offer are optional extras that help with personalisation and multi-channel follow-up.
Under AI Studio, open AI Agents and create or open the agent for this offer. Write instructions for the offer, add its FAQs and knowledge, set the conversation goal, then activate it so it answers on its entry points.
Open Broadcasts and create one. The Message step holds the opening message, and on the Replies step you pick the agent that handles everyone it reaches. On WhatsApp the opening message has to be approved as a template first.
Under CRM, open Contacts, then Lists, open the list your broadcast sends to and copy its ID. Your automation needs it, because adding a contact to that list is what triggers the opening message.
Point Pabbly, Zapier or Make at your form submission, or post directly from your own backend. One request to the create-contact endpoint with the list ID included creates the contact and adds it to the list.

What your form needsYour landing page can be built with ClickFunnels, Leadpages, Systeme.io, WordPress or any other tool. What matters is the data it collects, because messages go out by phone and the opening line is personalised with a name. Keep the form short: every extra field you add lowers your completion rate, and the conversation itself is a better place to collect the rest. Messages that use the person's name get significantly higher response rates, which is why first name earns its place next to the phone number.
Connecting itPabbly Connect, Zapier and Make all work the same way: a webhook or form trigger fires, you check whether the contact already exists, then create the contact with your broadcast's list ID in the same request. If you manage your own backend you can skip the middleware entirely and post to the create-contact endpoint yourself. Use camelCase field names such as phoneNumber and firstName, because anything the platform does not recognise is stored as a custom field instead, so a misspelled field would leave the contact with no phone number and the request would be rejected.
The triggerWith your broadcast live and Send to new list members switched on, adding a contact to the list it watches is what fires the opening message, whether that came from your automation, a manual import or by hand. One to three contacts at a time, the normal funnel case, go out immediately. Four or more at once are queued automatically and sent at a safe rate to protect your sender reputation. When the lead replies, the agent picks the conversation up.
Getting it rightA few habits are worth building in from the start rather than fixing after a launch has already burned through leads. Most of them cost nothing to set up and they compound: a short delay, a named opening line, follow-ups switched on, and a duplicate check before every create. Test the whole flow with a real opt-in before you send traffic, then watch the broadcast stats to see how many leads reply and how many reach your goal, and adjust the instructions and the opening message from what you learn.
