01How it works

Connecting Google Calendar Step by Step

What the setup actually looks like, from the connection screen to the first booking or record the AI handles in Google Calendar.

    Connect your Google account

    Open Settings, and under the Integrations group click Booking & Calendar. Find the Google Calendar card and click Connect, then choose the Google account that holds the calendar you want to sync and grant permission.

    Turn sync on for an event type

    Open Appointments, switch to the Event Types tab and open the event type. At the bottom of the form, in the Notifications section, flip on Sync bookings to Google Calendar and save.

    Pick which calendar each room uses

    The event type's Rooms section gives every room its own Google Calendar picker. One room means one calendar. A room per staff member points each one at that person's calendar, and rooms left on No calendar do not sync.

    Point your AI agent at the event type

    Open AI Agents, go to the agent's AI Abilities step and find the Bookings card. Switch on Let this agent book appointments, leave the provider on Built-in calendar and choose your event type.

02How it works

Changes Flow Both Directions

Two-way sync means you never have to keep two schedules in your head. Bookings made in DM Champ appear on your Google Calendar, and when an appointment is cancelled in the app the calendar event is updated or removed. In the other direction, anything already on your calendar counts as busy time, so the AI leaves those slots out when it offers times to a contact. Move or delete a calendar event and your availability updates with it.

03What lands on the event

Every Detail Filled In For You

The calendar event is written with everything you need at a glance, so you are not opening the app to find out who you are meeting. When the contact's email is known they are added as a guest and receive the Google Calendar invitation by email, including the Google Meet link, which follows the event type's Send appointment email to contact switch.

  • Date and time of the appointment
  • The contact's name, phone number and email
  • The location, either your event type address or the address collected during booking
  • A Google Meet link created automatically, or your own custom link
  • Any extra information the AI collected, in the description and notes
04Availability

Busy Time Blocking and Real-Time Updates

Time that overlaps an existing calendar event is removed from the slots on offer, so a contact is never given a time that clashes with something already booked. Once a time is taken, through the app or on the calendar itself, it stops being offered, unless the event type is set to take multiple bookings per slot, in which case it stays open until full. DM Champ receives notifications from Google whenever your schedule changes, so availability updates within seconds and nothing needs a manual refresh.

05Rooms

A Calendar Per Person or Resource

If an event type has several rooms and each room is linked to its own calendar, every room is checked against its own calendar independently. One person's busy morning does not take a colleague's room off the list. Busy time also outranks an event type that takes multiple bookings per slot, because a block on your calendar means you are not available, not that one place is taken.

06Cost and control

Free to Connect, Optional to Use

Booking works without any calendar connected. You set your hours on the event type and the AI books against those. Connecting Google Calendar adds the two-way sync and automatic Google Meet links on top. Keeping a calendar connected costs nothing ongoing, and bookings made directly on your booking page are free. Credits are only used when the AI does something in a conversation. You can disconnect at any time from Settings, and appointments already in the app stay where they are.
